The fastest workflow
- Propose 5–10 candidate days (not “any time next month”)
- Share one poll link
- Ask for Yes/Maybe/No votes by a deadline
- Pick the day with most Yes and announce it
For larger groups
Expect more “Maybe”. Choose a day that maximizes Yes and is acceptable for key attendees.
Close the loop
Once you pick the day, post the final date in the same thread/channel. A clear decision beats a perfect decision.
If results are messy
- Shorten the range and re-run (3–7 best candidates)
- Or pick the top day and ask for exceptions (“reply if you can’t make it”)
Reminder cadence
One reminder halfway + one “last call” message is usually enough. More pings don’t improve quality, only noise.
